Work the call queue

Learn how to use the Vaanexa Call Queue to prioritize leads, record call outcomes, and schedule follow-ups.

Work the Call Queue

The Call Queue gives your team a prioritized list of leads to call next. It orders leads using factors such as score, due follow-ups, and freshness, helping callers focus on the leads that need attention first.

What is the Call Queue?

The Call Queue is a prioritized calling workspace for leads that require phone follow-up.

Instead of manually deciding which lead to call next, the queue organizes leads based on available priority signals. After each call, the caller records the outcome and can schedule the next follow-up when needed.

Call outcomes also contribute to lead scoring and analytics, helping the team use calling activity as part of its wider sales workflow.

Why use the Call Queue?

The Call Queue helps you:

  • Give callers a clear list of who to call next.
  • Prioritize leads based on score and follow-up timing.
  • Focus on leads that need attention now.
  • Record call outcomes consistently.
  • Schedule the next follow-up after a call.
  • Feed calling activity into lead scoring and analytics.
  • Reduce manual decisions about which lead to contact next.

Real-Life Use Case

The situation

Imagine UrbanNest Realty has a team of callers following up with property enquiries. Every day, the team has leads at different stages and with different follow-up dates.

The problem

Callers need to decide which lead to contact first. Manually reviewing every lead can take time and may cause important follow-ups to be missed.

What happens without the feature?

The team may:

  • Call leads in an inconsistent order.
  • Miss leads with due follow-ups.
  • Spend time deciding who to call next.
  • Forget to record call outcomes.
  • Lose track of when a lead should be contacted again.

How Vaanexa helps

The Call Queue provides a prioritized list of leads to call. Leads are ordered using score, due follow-ups, and freshness.

After each call, the caller records the outcome and sets the next follow-up date when needed. The queue then updates automatically.

The new workflow

Prioritized lead → Call → Record outcome → Set follow-up → Queue updates → Next lead

Case Study

Business

UrbanNest Realty

Challenge

UrbanNest has a team of callers who need to follow up with many leads while making sure urgent and high-priority leads are contacted first.

Objective

Create a structured calling process that helps the team prioritize leads and consistently record call outcomes.

Vaanexa Solution

UrbanNest uses the Call Queue to determine who should be called next. Callers work from the prioritized list, record each call outcome, and set a future follow-up date when necessary.

The recorded outcomes contribute to lead scoring and analytics.

Outcome

The calling team has a clearer sequence for daily follow-ups and a more consistent way to record calling activity.

How the Call Queue works

The Call Queue prioritizes leads using signals such as:

  • Score
  • Due follow-ups
  • Freshness

The basic workflow is:

  1. Leads enter the calling workflow.
  2. Vaanexa prioritizes the leads in the Call Queue.
  3. The caller opens the queue and selects the top lead.
  4. The caller makes the call.
  5. The caller records the outcome.
  6. If another call is required, the caller sets the next follow-up date.
  7. The lead moves down the queue automatically.
  8. Call outcomes contribute to lead scoring and analytics.

Before you begin

Before working with the Call Queue:

  • Make sure your leads are available in Vaanexa.
  • Review the leads that require phone follow-up.
  • Make sure callers have the appropriate workspace access.
  • Understand the available call outcomes.
  • Set a follow-up date whenever another call is required.

How to work the Call Queue

Calling a lead

  1. Open Call Queue.
  2. Review the prioritized list.
  3. Pick the top lead.
  4. Call the lead.
  5. Record the call outcome.
  6. Select the appropriate outcome, such as:
    • Connected
    • No answer
    • Call back
    • Not interested
  7. If another follow-up is required, set the next follow-up date.
  8. Continue to the next lead in the queue.

After the call outcome and follow-up information are recorded, the lead moves down the queue automatically.

Understanding the feature

AreaDescription
Call QueuePrioritized list of leads that need to be called
ScoreLead score used as one of the queue's priority signals
Due follow-upIndicates that a lead has a follow-up that is due
FreshnessHelps prioritize newer or recently active leads
ConnectedOutcome used when the lead answers and the call is completed

Call backOutcome used when another call is required
Not interestedOutcome used when the lead indicates they are not interested
Follow-up dateDate for the next required call
AnalyticsUses call outcomes as part of reporting and performance analysis

Best practices

  1. Start with the top of the queue
Work through the prioritized list instead of choosing leads randomly.

  2. Record every call outcome
Consistent outcomes keep the calling workflow and analytics accurate.

  3. Set follow-up dates immediately
If a lead asks for a callback, schedule it while the conversation is still fresh.

  4. Use the correct outcome
Choose the outcome that accurately reflects what happened during the call.

  5. Review high-priority leads carefully
A high score or overdue follow-up may indicate that a lead needs prompt attention.

  6. Keep calling activity consistent
Consistent logging gives the team more useful data for lead scoring and analytics.

Common scenarios

First follow-up

A new lead enters the Call Queue and the caller works from the top of the list.

No answer

A caller attempts to contact a lead but receives no answer. The outcome is recorded and a future follow-up can be scheduled.

Callback requested

A lead asks the caller to contact them later. The caller records Call back and sets the next follow-up date.

Lead is not interested

A lead declines the offer. The caller records Not interested so the outcome becomes part of the lead's activity history.

High-scoring lead

A lead with a strong score appears high in the queue, helping the sales team prioritize the opportunity.

Common mistakes

Choosing leads randomly

The Call Queue is designed to prioritize leads. Ignoring the order can reduce the value of the queue.

Not recording call outcomes

Unrecorded outcomes make it harder to understand what happened and can affect scoring and analytics.

Forgetting callback dates

If a lead asks to be contacted later, set the next follow-up date immediately.

Using the wrong outcome

Choose the outcome that accurately reflects the call so future prioritization and reporting remain useful.

Leaving completed calls without an outcome

Every completed call should have an appropriate result recorded before moving to the next lead.
